Your wedding day timeline should take shape early in the planning process. Begin by choosing your ceremony time—this will be the anchor for your entire day. Once you have your ceremony time set, you can start to build out the rest of your wedding day schedule. It's important to consider how long each event will take, including getting ready, traveling between locations, and allowing for some breathing room. Your vendors are your best friends in creating a seamless wedding day. Working closely with your photographer, planner, and venue to ensure that your timeline aligns with their needs and expertise is a must! I always ask my couples for a list of their vendors they have booked for their wedding day so I can be proactive in communication and planning. For instance, you will want to take into consideration on the best time for portraits to take advantage of natural light, while your caterer will have insights on the optimal timing for meal service. Collaboration with your vendors ensures that everyone is on the same page, reducing the risk of delays or disruptions and making your wedding day run as smooth as possible.


Incorporate Key Moments

Begin your timeline by working backward from your ceremony time. Consider how long each segment will take, from hair and makeup in the morning to your grand exit in the evening. Be sure to include all the significant moments: the first look (if you’re having one), family and wedding party photos, the ceremony, the cocktail hour, and the reception events such as the first dance, toasts, and cake cutting. Once you’ve outlined the major events, you can go back and add the finer details.


Factor in Travel and Buffer Time

If your wedding involves multiple locations, be sure to factor in travel time between them. It’s also wise to add buffer time throughout the day. Your wedding day will fly by and things can take longer than expected. A little extra time here and there can relieve stress and allow you to be fully present in the moment.

Every wedding I photograph is unique, and your timeline should reflect what’s most important to you. Whether you want extra time for sunset portraits, a longer cocktail hour to enjoy the moment with guests, or a moment alone with your partner before the ceremony (or after), be sure to build these buffer times into your schedule. By prioritizing what matters most to you, you can create a timeline that truly reflects your vision for the day and will allow you to soak in all the hard work and planning you have put into the wedding day.

Sample Wedding Day Timeline

To give you a starting point, here’s a sample timeline for a typical wedding day with a 6pm ceremony time:

8:00 am – Hair and makeup

2:00 pm – Wedding party photos

4:00 pm – First look and couple portraits

5:30 pm – Guests arrive, pre-ceremony music starts

6:00 pm – Ceremony begins

6:30 pm – Ceremony ends, cocktail hour starts

7:30 pm – Reception begins with grand entrance and first dance

8:45 pm – Cake cutting and toasts

9:00 pm – General dancing

10:00 pm – Bouquet/garter toss

11:00 pm – Grand exit


This timeline can be adjusted based on your unique preferences, venue, and other considerations. Also keep in mind that different wedding seasons will also effect your timeline. Longer days in the summer and shorter days in the winter, these are all factors to consider.

While a well-constructed timeline is important, it’s equally crucial to be flexible and present in the moment.
